CA Communication Skills Affect Collections, Referrals & Retention

Ever had a miscommunication with a patient? Of course. We all have. Not only can miscommunications be frustrating, energy-sapping and time-consuming…they can also be expensive. When patients get a mixed message from your office: they don’t come back, they don’t pay their bill, and they certainly don’t refer.

Too many chiropractic offices are clinging to the hope that their patients will be compliant with their policies and recommendations for care just because they said so, or worse–via ESP. There are so many problems that creep up when CAs are not empowered to properly communicate with patients. Here are just a couple examples: when a patient calls to cancel an appointment, and an empathetic CA responds with, “That’s okay” before hanging up the phone. Yikes! As you can imagine, that’s quite a mixed message. Just as the well-meaning CA who tells a symptomatic patient to “come in when you’re feeling better.”

What about CAs who ask questions in a yes or no format, when clearly the answer “no” would not be an acceptable option? For example, asking patients: “Did you want to set up your next appointment?” or “Do you want to make a payment today?” Obviously, there are better ways to effectively communicate.

How Can Your Patients “Get It” If Your CAs Don’t?

Let’s face it. CAs have many more interactions with patients than the doctor does: on the phone, during check-in, during check-out, during scans, etc. In other words, CAs have many opportunities to either reinforce their chiropractic care, drop the ball by saying nothing, or saying something that inadvertently keeps patients out of your office.

What are Your CAs Attracting to Your Practice?

Is your team focused on practice challenges, on dwindling insurance reimbursement, on lack of patients, or low collections? If so, you will continue to experience more of the same. Why? Because whatever you focus on E-X-P-A-N-D-S.

The good news is, you can choose to focus on the positives, causing those to expand instead. Focus on what’s working in your practice, on your successes, on your current clients who stay, pay and refer.

While the movie The Secret popularized the Law of Attraction, the concept is certainly nothing new. Michael Losier defines it as: “You attract into your life whatever you give your attention, energy and focus to, whether positive or negative.”

If your CAs concentrate on the patients who are non-compliant–the ones with problems keeping their appointments, who continually run a balance, who are constantly complaining–what do you think you’ll attract into your practice? Instead, train your team to focus on those patients who keep their appointments, who commit to corrective and wellness care, who choose to prepay for care, and who refer others to your practice.

What is your team’s reaction when there are 5 new patients scheduled in the evening? Excited about the difference you’re making? The miracles that might be created? Or crabby over the thought of getting out of the office late. Which will matter a year from now? The mindset and attitude of your team are critical to the success of your practice.

There has actually been a Gallup opinion poll to determine if Americans prefer to be around positive or negative people. Lo and behold, 99% of us prefer to be around positive people (and someone actually paid for this study). So, what implications does this have for your practice? The more positive you and your CAs are, the more patients will be drawn to you.

There are so many examples of the law of attraction in your office. Consider how many times you’ve stopped to think about a patient you haven’t seen in months and they actually come in that same day. Alternatively, think about a time when your office collections were low; if you continued to focus on the unpaid bills, that’s all you got more of–yuck!

Rather than speaking negatively about the economy of your community, start noticing the successful businesses in your area. Pay attention to the line at Starbucks, the full parking lot at Whole Foods, the fabulous restaurant that is hard to get into. And also notice that there is no insurance coverage for lattes, organic produce or dinner out.

How to get the money from your A/R aging report into your bank account

Most chiropractors don’t bother looking at their accounts receivables report unless their collections take a dive. Mistake. Big mistake. Unfortunately, ignored claims become uncollectible. Uncover the goldmine hidden in your office before it’s too late! We’ve learned this one the hard way.

How Do Your CAs Respond…

Let’s face it. What about when a patient calls to cancel an appointment because:
